Case Study: atPace Project Portfolio Management

A platform that turned atPace's proven spreadsheet discipline into software, so large organisations can plan and negotiate people across hundreds of projects two years out.

The challenge

atPace had spent years perfecting a discipline for planning and coordinating a workforce across a portfolio of projects. Their clients have thousands of staff spread across hundreds of projects and little clear idea of who is assigned to what over the next two years. The method worked, but it lived in a spreadsheet model that could not carry it at scale.

What we built

We translated that spreadsheet model into a project portfolio management platform holding every project and the roles each one needs over time. It shows where people are over-allocated and under-allocated, highlights the problem cases, and supports a management discipline of forward planning: request and allocate resources, then progressively reassess, lock in a short-term window, and keep the long-term plan agile as time moves on.

The outcome

The platform let atPace validate their ideas and paper process at scale. Project coordination teams and managers get a clear picture of exactly who is allocated and which projects are at risk of missing out on staff or resources, so they can identify bottlenecks early and become genuinely agile and adaptive.
